Privacy Notice for Graduate Tracer Survey

Welcome to Batangas State University - The National Engineering University. This Privacy Notice explains how we collect, use, disclose, retain, and dispose of your information when you participate in our Graduate Tracer Survey.

The Graduate Tracer Survey is conducted to gather information about your post-graduation experiences. This helps us understand your career progression, improve our programs, and support future graduates. The data collected will be used for statistical and research purposes only.

Collection must be for a declared, specified, and legitimate purpose, thus:

  1. Information we collect, acquire, and generate
    1. Consent is required prior to the collection and processing of personal data, subject to exemptions provided by the Data Privacy Act and other applicable laws and regulations. When consent is required, it must be time-bound in relation to the declared, specified, and legitimate purpose. Consent given may be withdrawn.
    2. The data subject must be provided specific information regarding the purpose and extent of processing, including, where applicable, the automated processing of his or her personal data for profiling, or processing for direct marketing, and data sharing.
    3. Purpose should be determined and declared before, or as soon as reasonably practicable, after collection.
    4. Only personal data that is necessary and compatible with declared, specified, and legitimate purposes shall be collected.
    5. Personal data originally collected for a declared, specified, or legitimate purpose may be processed further for historical, statistical, or scientific purposes, and, in cases laid down in law, may be stored for longer periods, subject to implementation of the appropriate organizational, physical, and technical security measures required by the Data Privacy Act in order to safeguard the rights and freedoms of the data subject.
    6. Personal data which is aggregated or kept in a form which does not permit identification of data subjects may be kept longer than necessary for the declared, specified, and legitimate purpose.
    7. Personal data shall not be retained in perpetuity in contemplation of a possible future use yet to be determined.
    8. For instance, we may collect the following information:
      1. Personal Information. This may include your (a) name, (b) age, (c) year, (d) sex, (e) permanent address, (f) email address, (g) contact number.
      2. Education. This part includes data like (a) degree program (Integrated School, undergraduate program, graduate school, and professional school), (b) year of graduation, and (c) year and Semester of your first enrollment.
      3. Employment History. This includes (a) current job position, (b) type of organization of employment, (d) if overseas, the country of employment, and (e) name of the company.
      4. Additional Feedback. We may also collect responses about your career experience and educational impact.
  2. Use of information

    To the extent permitted or required by law, we use your personal data to pursue our legitimate interests as an educational institution, including a variety of academic, administrative, research, historical, and statistical purposes.

    1. Personal data originally collected for a declared, specified, or legitimate purpose may be processed further for historical, statistical, or scientific purposes, and, in cases laid down in law, may be stored for longer periods, subject to implementation of the appropriate organizational, physical, and technical security measures required by the Data Privacy Act.
    2. Personal data which is aggregated or kept in a form which does not permit identification of data subjects may be kept longer than necessary for the declared, specified, and legitimate purpose.
    3. Personal data shall not be retained in perpetuity in contemplation of a possible future use yet to be determined.
    4. We may use the information we collect for purposes such as:
      1. To process and report documents related to registration and confirmation of participation under certain conditions as required by law.
      2. To announce and promote events, programs, courses, and other activities offered and organized by the University and its partners.
      3. To establish relations with the alumni, particularly in activities related to career development.
      4. To analyze employment trends and career outcomes.
      5. To enhance the quality and relevance of our educational programs.
      6. To report aggregate findings in a way that does not identify individuals.
  3. Sharing and Disclosure

    Your data will be stored in a secure system with restricted access. We will not share your personal data with third parties without your explicit consent, except where required by law.

    1. Considering that the University is a government institution, any data sharing agreements shall follow the provisions of the National Privacy Commission (NPC) Circular No. 2020-03. Nonetheless, data sharing may be covered by a data sharing agreement (DSA) containing the terms and conditions of the sharing arrangement.
  4. Storage and Retention

    Your personal data is stored and transmitted securely in paper and electronic formats, including shared databases between University units or offices. Access is limited to University personnel with a legitimate interest in carrying out their duties.

    1. Retention of personal data shall only be for as long as necessary:
      1. for the fulfillment of the declared purpose, or when processing relevant to the purpose has been terminated.
      2. for the establishment, exercise, or defense of legal claims.
      3. for legitimate business purposes, consistent with industry standards.
    2. 4.2 Retention of personal data shall be allowed in cases provided by law.
    3. 4.3 Personal data shall be disposed of or discarded securely to prevent unauthorized access, processing, or disclosure.
  5. Rights of Alumni as Data Subjects
    1. Right to be Informed: You are entitled to know the purposes for which your personal data is being collected and processed.
    2. Right to Access: You have the right to access your personal information, including its origin, entities it has been shared with, and reasons for processing and disclosure.
    3. Right to Object: You may contest inaccuracies in your personal data and request corrections.
    4. Right to Suspension/Blocking/Removal/Destruction: You can request suspension, blocking, or destruction of your data if used unlawfully or no longer necessary.
    5. Right to Rectification: You can request corrections of incorrect or incomplete data.
    6. Right to Claim Damages: You may seek compensation for damages from misuse or inaccuracy of personal data.

Changes in Privacy Notice

The University may make changes to this Privacy Notice. You will be notified through our website or other means of communication. Any modifications are effective immediately upon posting.

We will not disclose your personal information without prior consent. The processing of your data is necessary for building alumni networks and supporting institutional accountability and career progression assessments.
